Return Management
Introduction

Returns happen in every online business. For dropshippers, returns can be annoying but when handled well they shouldn't be. The goal is to reach a "net-zero" result, where you are not out of pocket for any costs. To do this, you must follow eBay's return policy and Amazon's return policy. By following the right steps, you can recover your costs and keep your business running smoothly.

Accepting the Return

You should always accept a return request immediately. If you decline it or wait too long, you risk getting negative feedback.

Protect Your Account: Accepting the return keeps the process inside eBay’s system. If you do not respond, the buyer can ask eBay to step in. If eBay has to settle the case, it results in a "defect" on your account. Too many defects will lower your search ranking and can limit your sales.

The 30-Day Window

After you accept the return, the buyer is responsible for sending the item back. This part of the process follows strict deadlines.

Tracking and Time: The buyer has 30 days to ship the item. If the shipping company does not scan the package within this time, the return is eligible for closure.

Automatic Closure: If the buyer never ships the item, the return will eventually close on its own. You keep the money from the sale and the process is finished. Many buyers open returns but never actually send the item back, which means you keep the profit.

Empty Or Damaged Package: If the buyer sends back an empty package, a different item, or the item is damaged beyond repair you can charge a restocking fee to the buyer to recover the money you lost. Don't go overboard because that can backfire. If a buyer is consistently buying items from you and returning them, you should block them.

Getting Your Money Back

When an item is returned, you need to use both eBay and Amazon rules to recover your costs.

eBay Fee Credits: Once you refund the buyer on eBay, the platform automatically gives you back the Final Value Fees they charged you. This ensures you are not paying fees for a sale that did not finish. For more details on fees, visit the eBay Fee Credits page.

Amazon Refunds: You must start a return on your Amazon Orders page. Amazon will refund the full price you paid for the item. Between the eBay fee credit and the Amazon refund, all of your money is returned to you.

Handling Items You Cannot Return

Sometimes you cannot send an item back to Amazon. This happens if the return window has closed or if the item category is return restricted.

Recovering Your Cash

  • Relist on eBay: List the item again as "New", "Open Box", or "Used" depending on the condition. Because you have the item in your possession, you can ship it faster than a dropshipped item.
  • Sell Locally: Use local marketplaces to sell the item for cash and avoid extra shipping fees.
  • Keep as Stock: Save the item to sell again later when demand is higher.
Professional Communication

Staying professional and being kind to the buyer protects your feedback score. Use a neutral message like the one below when you accept a request to keep the process moving smoothly.

Standard Return Message:

Hello,

I have accepted your return request for [Item Name]. Please use the return shipping label provided by eBay to send the item back.

Once the tracking updates and the item is delivered, I will process your refund immediately.

Thank you, [Your Store Name]

Conclusion

Returns do not have to be a loss. If you accept them quickly, wait for the shipping window, and use your supplier's refund policy, you protect your profit. Handling these as technical steps ensures your account stays healthy.
